Job Purpose:

The Operations and Administrative Manager is responsible for assisting the Executive Vice President in ensuring the services the TRSS provides for its students and student groups are executed efficiently and effectively.  The manager will also be responsible for assisting with other organizational functions of the TRSS as well as its ad-hoc projects. In addition they will take the role of the Secretary for the TRSS Board. These responsibilities include creating, maintaining and distributing the agenda prior to board meetings, taking minutes at board meetings, the distribution of past meeting minutes, archiving and ensuring meeting minutes are available to the General Membership for public viewing, and maintaining the files and archives of the TRSS. The Secretary is also responsible for maintaining an inventory of all merchandise retained by TRSS. The Secretary will only vote in the event of a tie, when an external chairperson is the Chair. This position will help the individual develop strong organizational and time management skills.

Duties:

  • Development and distribution of the agenda books
  • Manage Kiosk Bookings
  • Ensure office supplies are replenished in a timely manner
  • Enforce and manage poster policies throughout TRSM
  • Manage other services provided by the TRSS
  • May also be asked to perform additional duties and special projects, at the request of the Executive Vice President
  • Take Minutes at all board, director and executive meetings, including other meetings at request of Executive Vice President
  • Archiving and distributing past meeting minutes to the General Membership for public viewing
  • Responsible for maintaining an inventory of all merchandise retained by TRSS
  • Upload and manage all TRSS Minutes and Agendas
  • Assist the Executive Vice President with other organizational functions of the TRSS

Minimum Time Commitment: 7 hours per week

Skills/Qualifications:

  • Strong communication skills (both written and oral), being able to pay attention to detail
  • Must be organized, reliable, be able to work under tight deadlines and able to work independently
  • Attendance at every TRSS Board meeting (monthly during the summer, bi-weekly during the school year)
  • Knowledge of Microsoft Office Suite, Dropbox, Gmail, Google Drive
  • Knowledge of Dropbox file archiving
  • Attendance at monthly committee meetings as needed
